- Why am I getting this email?
- Almost every sale in the United States is taxable, unless a sales tax exemption certificate is provided. Many companies fail to collect these forms, although they are required to be collected by law. If you do not provide this form describing why your purchases are exempt from sales tax, then we are to assume you should be taxed and will be expected to pay all the related sales tax on future orders.
- How do I find out which certificates I am required to send?
- Once you login to CertCapture with the credentials given to you during the registration process, you will be able to see which certificates are required.
- Why can’t I sign with my mouse?
- The ability to sign using the mouse is determined on a per client basis. If the option does not exist when you are filling out your certificates, the client requesting certificates from you did not choose to implement this ability.
- Can I print and mail my certificates rather than submit them electronically?
- Yes, you may print, sign and mail or fax the certificates that have been requested from you. Please consult the email you received for the correct email, phone and fax contact information.
- Can I send in my own certificate(s) instead of the one(s) I received?
- Yes. Many companies have certificates that they hand out pre-prepared and approved by their tax department. These may be submitted either by fax, mail or email. Please consult the email you received for the correct email address, phone and fax contact information.

- What if I don’t recognize the company referenced in the email?
- If you do not recognize the company that has sent you a request for a sales tax exemption certificate, you may not currently be doing business with them. However, our clients often ask us to assist them with audits that can stretch back 4 or more years. If no certificate was on file previously, we may ask you to provide one now. Although not required, it has become common courtesy to assist companies in these requests. - How do I find out what I purchased from the company requesting my certificates?
- Your purchasing or accounts payable departments are likely to have the sending company’s direct contact information. We recommend that you contact the sending company directly about the sales tax exemption certificate emailed to you. Alternatively, our staff can serve as an intermediary between you and the sending company. You can use either the contact number or email address in the email you received to reach our staff, who will then forward on the information request to the sending company for you.
